These are 4 apps that I use to improve workflow and efficiency in my business.
I use a lot of apps running my business. There are apps for designing, apps for accounting, apps for backing up data, scheduling, cloud storage … well, every-damn-thing. I want to share the four apps that I would call my favorites. Not all of them are absolutely necessary for me, but they make my life so much easier. Every one of these improves my workflow and efficiency.
So, as Gaga says … “Here we go!”
Freshbooks Cloud Accounting is my #1 favorite app. I started out using Excel to create invoices and track my expenses and mileage. No more. Freshbooks does all of that with fries. Needless to say, this app saves me oodles of time. It also allows me to focus on design more often than figuring profit & loss or tracking down all of my expenses come tax time.
Freshbooks seriously has way too many tools and features to list here, but here are my favorites:
- recurring invoices
- automatically import expenses from multiple accounts
- accounting reports
- create proposals and estimates
- so many integrations
- mobile app
Mailchimp has become a new favorite for me. I started using it a few years ago, but didn’t’ really feel like I was getting anything out of it. Turns out you have to do the work to get the reward. Duh. I’ve started using it as an add-on service for clients and use my agency account to help manage my client’s Mailchimp accounts. I help them design their campaigns, setup automated emails and manage their lists.
How do I love Mailchimp? Let me count the ways:
- free up to 2,000 subscribers (myself and all of my clients are using free accounts *wink wink*)

- integration with social media and Google
- great customer service

Calendly is something I only just discovered last year. I have it integrated on my contact page. It allows a user to schedule their own consultation and checks my availability against my Google calendar. It’s that easy. There’s hardly any of that back and forth when trying to schedule meetings anymore. It’s amazing. You can setup one event with a free account. I now pay for the base account so that I can schedule meetings for my business, paid consults and then meetings for every other thing.

- customize each event type
- collect payments when clients book a paid consult

Dropbox was another product that I didn’t quite get the value of until recently. I used the free plan to share links and so forth, of course. It was only last year (or the year before) that I invested in the basic plan to be able to sync a few files from my desktop. Then just a few months ago I took a leap and decided to sync my workflow folders as well. It wasn’t as if I didn’t have enough storage. The most basic paid plan gives you 1TB of storage! Now everything I work on is where ever I am on whatever device I’m using. Freaking brilliant.
The best features in Dropbox:
- device sync (seriously the best)
- Paper (like Word except everywhere you are … and sexy)
- file sharing (obviously)
- integration with client’s websites to store automated backups (saves me SO much time)
- Showcase (I don’t pay for this feature … yet. It looks like I will soon, simply because my presentations will look hella sexy)

These apps are even working when I’m not thinking about them! That’s the best part of quality apps. I don’t have to think about it or manage it. It does everything for me. Except for when they release great new features and I end up falling down the rabbit hole of fabulous.
